Administrative Coordinator (Psychiatry)
This is a hybrid position which will require 2-3 days in office each week. The office is in Indianapolis, IN.
The administrative coordinator will support the Department of Psychiatry Vice Chair of Academic and Clinical Operations and the work of our administrative team. Duties and responsibilities will include managing calendars, coordinating meetings, tracking and reporting on various performance metrics, and assisting with various administrative tasks. Experience working with Microsoft Excel and a level of comfort working with financial data is required.
Responsibilities:
- Provides standard administrative and technical support to multiple leaders or senior leadership.
- Manages schedules/calendars, coordinates meetings and events, prepares travel arrangements, processes invoices and expense reports, and handles inquires, as appropriate, across teams they support.
- Manages work with limited guidance and direction.
- Anticipates and proactively addresses administrative and technical issues and challenges as they arise.
- Assures accuracy and availability of office records, files, resource data, various reports, basic budget oversight, etc.
- Exercises sound independent judgement anticipates potential issues and challenges and recognizes the specific needs of their leader(s).
Qualifications:
- Bachelor's degree or equivalent years of experience required.
- Requires 3-5+ years of relevant experience.
- Experience with matrix organization and complex work environment preferred.
- Requires intermediate proficiency in MS office (Word, PowerPoint, Excel).
- Requires intermediate experience in receiving, analyzing, and interpreting complex data and information.
