Position Summary:

We are seeking a highly organized, detail-oriented administrative professional to provide comprehensive support of legal, human resources, and executive administration functions. This role will be responsible for assisting legal counsel with contract administration and management, maintaining organized records, ensuring compliance with internal policies and legal requirements, and providing high level administrative support. The ideal candidate will be proactive, discreet, and able to manage multiple priorities in a fast paced environment.

Key Responsibilities:

Legal Support:

  • Assist with contract administration and management, including contract review, preparation of contracts for signature, and handling of contract execution process.
  • Maintain and update a centralized contract administration and management system.
  • Coordinate with internal stakeholders and external counsel regarding various legal matters, including contract review and negotiations, litigation, and compliance requirements.
  • Prepare, proofread, and format legal documents, correspondence, and reports.
  • Perform data entry and update information in databases and spreadsheets.
  • Other duties as assigned.

Human Resources Administration:

  • Maintain accurate employee records, including contracts, personnel files, and compliance documentation.
  • Assist with onboarding and offboarding processes, ensuring all documentation is completed and properly stored.
  • Track employee leave, benefits, and performance documentation, as required.
  • Support HR compliance by keeping policies, forms, and procedures up-to-date.
  • Other duties as assigned.

Administrative Support:

  • Manage executive calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare and organize meeting agendas and presentations.
  • Screen, route, and respond to incoming communications with professionalism and confidentiality.
  • Handle incoming and outgoing mail.
  • Support general office operations and special projects as assigned.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in business administration, legal studies, or related field strongly preferred.
  • 3+ years of experience in legal support, HR administration, or executive-level administration assistance.
  • Strong understanding of contract review and record management best practices.
  • Exceptional organizational skills, with the ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Power Point) and document management systems.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism when handling sensitive information.

Work Environment and Reporting Structure:

  • This position offers a hybrid work environment, with an expectation of three (3) days in-office or as otherwise required by supervisor.
  • This position reports to Montauk’s Associate General Counsel.
