We're looking for an Administrative Assistant 1 to join the team and work under the supervision of an Administrative Assistant 3 for the Child Protective Services and Foster Care Licensing Area Administrator for the Licensing Division. They will perform complex secretarial duties to support the area administrator, assessment supervisors, and their staff. This position is located in the Spokane Central office.

The Opportunity:
The Administrative Assistant One position supports the agency’s mission by being responsible for providing administrative support to the Licensing Division supervisors and staff in the regions covered. This position is expected to work with minimal supervision and will assist in a variety of different tasks which most have a strict timeline for processing. Guidance is available for new or unusual situations. Deviation from established parameters requires approval. Work is periodically reviewed to verify compliance with established policies/procedures with special attention to accuracy/timeliness of Excel log entries.
Duties include, but are not limited to:
- Updating and maintaining provider management database systems.
- Maintaining various filing systems.
- Processing files for electronic imaging.
- Typing and editing correspondence.
- Triaging customer service contacts and staff needs.
- Provide all clerical duties for the LD/CPS Investigators and Foster Care Licensing Teams.
- Assist staff by uploading audio recordings and printing/uploading photos.
- Data entry into SACWIS computer database as well as other computer systems called WACAP by Binti and FamLink.
Here's some more of what you will get to do:
- Create, maintain, process, and archive provider/case licensing files.
- Create pieces of work for assignments, complete data entry, and upload documents as needed.
- Create, maintain, and track written and electronic documents; copy, scan, and/or email documents for staff.
- Compose and send correspondence, bulk mailing as needed, licenses, letters, and memos for the area administrator, supervisor, and staff as needed from written/oral instructions.
- Exercise specialized knowledge and independent judgment in completion of tasks and assignments to coincide with general priorities and guidelines and resolving written communication.
- Provide coordination of translation services including interpreter requests and document translation services for Licensing Division staff.
- Prepare closed records and archive records according to the appropriate retention schedule.
- Create and maintain administrative logs, reports, and computer printouts; log, track, and gather data related to assignments, completions, and outcomes.
- Provide technical assistance and effectively respond to these inquiries in a timely manner. Prioritize these requests and refer to appropriate entities within and outside of the Licensing Division.
- Respond to public disclosure and discovery requests by gathering all requested material, scanning the file, and forwarding material to the appropriate staff/department for processing.
- Developing new work methods, procedures and strategies and with clerical issues with discretion to accomplish assignments and to solve new or complex problems.
What we're looking for (Required Qualifications):
- One year of increasingly responsible office experience requiring keyboarding or typing.

Preferred/Desired Qualifications:
- Previous demonstrated intermediate/advanced levels of computer literacy including the ability to perform intermediate/advanced tasks in various computer programs including Microsoft Word, Excel, Outlook, and Famlink database.
- Previous demonstrated ability to work independently and prioritize workload.
- Previous demonstrated ability to respect and maintain confidentiality.
- Previous demonstrated skills in keyboarding or typing accurately at a net speed of 50 words per minute or faster
