Essential Functions
The Administration and Finance Specialist Supports the Finance Director in performing transactional activities for the monthly accounting cycle. The Administration and Finance Specialist is the key liaison with fiscally sponsored organization contacts and performs other duties to support the administration and finance team.
Success in this role requires an ability to manage multiple tasks, attention to detail, good judgment, a positive attitude, both independent self-management and collaboration skills, and a willingness to be a proactive problem-solver.
Accounting and Cash Management Support (60%)

Cash management

Maintain vendor files and documentation

Process invoices

Process credit card statements

Initiate and process electronic and check payments

Coordinate the production and distribution of Form 1099 statements

Coordinate and process unclaimed property

Revenue cycle

Process payments

Coordinate collections process

Reconciliations

Assist with account reconciliations

Payroll
-
Perform biweekly payroll processing

Maintain employee payroll records

Process and maintain employee deductions (i.e. HSA, FSA, 403b)

Process state payroll tax and unemployment reporting

Produce reports for workers compensation audits

Produce payroll reports as needed for financial statements and audits

Special projects

Participate in the selection and implementation of systems

Contribute to continuous process improvement

Other projects as assigned
Fiscal Sponsorships (20%)
-
Act as primary liaison between CDI, Board and current and prospective fiscal sponsorees.

Process sponsorship applications and related documentation
-
Distribute payments and financial reports to sponsorees

Administer sponsorship fee program
Administrative Support (20%):
-
Maintain and update the CDI Google Calendar, i.e., holidays, Board meetings.

Coordinate and administer the contract execution and storage process.

Process physical mail and electronic messaging
-
Provide support to the Finance Director and Admin team as needed
Qualifications & Requirements, Education and Experience

Associate degree, bachelor’s degree preferred. Relevant experience may be substituted for educational requirement.

One (1) to three (3) years of relevant experience.

Intermediate expertise in the use of Google Suite, Zoom, enterprise accounting applications, and communications platforms; experience with Sage Intact and ADP preferred.

Effective verbal and written communication skills.

Strong time management and organization skills; meticulous attention to detail.

Excellent customer service skills and ability to address inquiries in a timely fashion.

Ability to work well independently and as a member of various teams.

Ability to manage multiple tasks, prioritize assignments, and meet deadlines.
