Work Location: Hybrid at our Executive Square Office in La Jolla, CA

Pay Range: $26.00 - $33.00 per hour

Bonus: Potential $5,000 bonus based on achieving pre-determined Key Performance Indicators (“KPIs”)

Essential Job Duties and Responsibilities:

  • Prepare and issue accurate and timely invoices related to clinical trials, grants, and research contracts.
  • Monitor aging reports and perform proactive collections activities to ensure timely receipt of payments.
  • Apply cash receipts and reconcile accounts to the general ledger.
  • Communicate professionally with sponsors, grant agencies, CROs, and internal stakeholders to resolve billing issues.
  • Maintain documentation for all transactions in compliance with regulatory and audit standards (e.g., NIH, GAAP).
  • Collaborate with grants administrators, project managers, and research coordinators to ensure billing accuracy.
  • Assist in month-end and year-end close processes including AR reporting and analysis.
  • Support audits and financial reviews by providing detailed AR records and supporting documentation.
  • Identify process improvements to enhance AR accuracy and efficiency.
  • Create and implement AR processes and procedures related to both Research and clinical

Required Qualifications:

  • Associate's or Bachelor’s degree in Accounting, Finance, or related field.
  • 3+ years of accounts receivable experience, preferably in a medical research, biotech, CRO, or healthcare environment.
  • Strong knowledge of research grant billing, clinical trials, or contract research invoicing practices.
  • Experience with accounting systems (e.g., QuickBooks, NetSuite, SAP, Oracle) and AR modules.
  • Proficiency in Microsoft Excel and general office applications.
  • Strong analytical, problem-solving, and communication skills.
  • Detail-oriented with the ability to manage multiple priorities and deadlines.

Preferred Qualifications:

  • Familiarity with NIH and federal grant billing guidelines.
  • Experience working with clinical trial management systems or grant management software (Clinical Conductor).
  • Ability to build clinical conductor visit structure according to pertinent study protocols.
  • Understanding of revenue recognition standards (ASC 606) in a research environment.
