Position Overview

Under the direction of the Director, University Enrollment Operations, the Project Manager I coordinates and oversees Enrollment Management project initiatives. Primary responsibilities include planning, coordinating, and governance of Enrollment Management projects, including timeline development, schedule and schedule variance tracking, including risk management. The Project Manager I will collaborate with Enrollment Management colleagues to improve PM processes and outcomes, communicate across departments to fill project needs, develop project templates, and create relevant post-project reports.

Essential Job Functions

Project Management and Coordination- 75%

  • Review of all project requests to ensure alignment with articulated assessment rubrics and Enrollment Management strategic plans
  • Develop comprehensive project plans to be shared with internal clients as well as other EM staff members
  • Serve as the administrative single point of contact for each project and ensures the project stays within scope
  • Provide exemplary professional discretion, clarity, and approachability in communication with all stakeholder and university colleagues
  • In collaboration with EM supervisors, delegate project tasks based on identified strengths, skill, experience levels, and availability
  • Responsible for EM project governance, oversight and tracking according to the department project management framework and overall project management best practices
  • Maintain project management documentation, including detailed project guidance documents to clarify specific requirements of each project
  • Track project performance, specifically to analyze the successful completion of short- and long-term goals
  • Coordinate project communication with the project team, internal university constituents, and external vendors, if any
  • Provide timely reporting on status of each project to project sponsor and University Director of Enrollment Operations
  • Plan and facilitate status/update meetings and coordination of both internal and external project meetings

Enrollment Operations Support- 15%

  • Support the Director, University Enrollment Operations in the development and implementation of efficient business practices and systems to support Enrollment Management efforts across campuses and programs
  • Provide project management tools and templates for cross-departmental projects connected to the Enrollment Management technological systems and business processes
  • Develops and maintains appropriate quality control for accurate delivery of business operations including consistent written protocols and processes
  • Escalation point and responsible for issue tracking and escalation
  • Work with EM university directors in scheduling resources

Miscellaneous- 10%

  • Recommend procedure modifications or improvements
  • Improve documentation of processes and systems
  • Pursue self-education and development to enhance skills and abilities
  • Performs other duties as assigned

Minimum requirements

  • Bachelor’s degree required
  • 3 years’ experience in project management
  • Familiarity with Wrike software project management tool preferred
  • CAPM certification preferred
  • Demonstrating proficiency in Microsoft Office and Google Suite

  • Demonstrated ability to:
    • Creatively troubleshoot and work independently
    • Manage and coordinate simultaneous projects while managing tight deadlines
    • Communicate effectively with non-technical personnel and be able to establish and maintain collaborative relationships with technical and non-technical staff
  • Ability to learn new technologies quickly and proficiently
  • Ability to remain calm under stressful circumstances and/or aggressive deadlines

Hours of Employment
This is a full-time position serving a national university. A work schedule will be established in consultation with the supervisor. The typical work week is Monday through Friday, 40 hours per week with occasional evening and/or weekend hours.
