Project Manager

Description: The Project Manager provides planning, tracking and management of the Animal Legal Defense Fund’s (ALDF) legal campaigns, enabling our program staff to effectively meet their strategic objectives to advance the field of animal law. The Project Manager fulfils a similar role for ALDF’s cross-functional events, to ensure they are executed on time, on budget and within scope. The Project Manager is an integral part of ALDF’s Project Management Program and works closely with interdepartmental teams to produce successful projects and meet the requirements of key stakeholders.

Essential Responsibilities:

Campaign Project Management (60%)

The Project Manager will be responsible for managing the planning, progress and execution of ALDF’s major campaigns, including:

  • Working with the project stakeholders to develop a project charter, outlining the scope, budget, deliverables, priorities, risk assessment, roles and responsibilities, and protocols for the campaigns
  • Participating in project team selection and clearly communicating expectations to team members and stakeholders
  • Creating a project management and execution plan and maintaining all project documentation
  • Developing a work breakdown structure and estimating the resources required for each task
  • Managing tasks via Project Pro software and providing regular updates to stakeholders regarding progress, milestones, potential delays and risk management plans
  • Being accountable for project team performance and results and acting as a mediator between stakeholders and project team members
  • Effectively managing project scope and dependencies and ensuring any changes to scope are documented and approved
  • Identifying team conflicts and potential project delays and working with the project team to resolve these issues or escalate to the appropriate senior or executive staff
  • Identifying and completing project close-out tasks and leading post mortem meetings to review achievements and recommend improvements for future projects

Event Project Management (35%)

The Project Manager will also be responsible for managing the planning, progress and execution of a portfolio of ALDF’s cross-functional events and receptions, including:

  • Completing all deliverables outlined under the “Campaign Project Management” heading above, as they relate to Event Project Management
  • Ensuring projects remain on time and on budget
  • Participating as a member of the steering committees for assigned events

Program Support (5%)

The Project Manager will also be responsible for the following:

  • Communicating key project details and updates to staff and board members and producing planning memos, as required
  • Providing on-site support for ALDF’s large, annual events, as needed
  • Managing staff and volunteer roles and schedules at events, as needed
  • Other duties as assigned by the Project Management Program Director

Key Qualifications:

The ideal candidate will:

  • Understand and be fully committed to the mission of the Animal Legal Defense Fund
  • Have a minimum of 5 years’ of project management experience
  • Have a proven track record of successful team management, be a skilled negotiator and have the ability to hold team members accountable for their performance
  • Have excellent facilitation, presentation and leadership skills
  • Be able to work independently and be a skilled problem-solver
  • Be able to think strategically and juggle multiple tasks and deadlines while Crotatmaintaining composure
  • Be a skilled writer with strong attention to detail
  • Have excellent planning, organizational, critical thinking and prioritization skills
  • Have excellent interpersonal skills and be able to communicate effectively with colleagues, vendors, and the public
  • Be “computer literate” with working knowledge of common computer applications including Outlook, Word, Excel, Adobe Reader, web browsers, social media platforms, etc.
  • Be experienced using Microsoft Project Pro or similar software
  • Have excellent references relevant to similar positions held
  • Have a valid driver’s license and insurance

In addition to the above qualifications:

  • Experience with event planning is preferred but not required
  • Knowledge of the key people and issues within the field of animal law is preferred

Work Environment:

The workplace is a busy, two-story office located in Cotati, California. The workplace is business casual and includes companion animals. Products made from animals or animal parts are prohibited in the office. Remote applicants will also be considered.
