Executive Assistant

Calix is seeking a temporary Executive Assistant to support two members of our Executive Leadership Team. This position will last for approximately 4 months.

Responsibilities:

  • Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget
  • Prepares Executive(s) for all internal/external meetings, including research and documentation in order to support Executive(s) in positive meeting outcomes
  • Works closely with assigned Executives to ensure that all projects are up-to-date; acts as Executive’s Liaison with internal Business Unit Leaders, Investors, and Business Partners; acts as communication conduit for Executive with internal and external parties
  • Acts as gatekeeper for assigned Executive(s) with requests for Executive’s time and resources, e.g. phone calls, e-mails, meetings; consistently uses good judgment and discretion in assisting Executive(s) in managing interruptions, time commitments, and priorities
  • As needed, interprets requests, helps implement actions, and decides whether executive should be notified of important or emergency matters
  • Prepares agendas, notices, minutes and resolutions for corporate meetings
  • Manages the assigned Executive’s calendars and schedules appointments
  • Screens incoming calls and correspondence and responds independently when possible; may sign or send communications on Executive’s behalf
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings for all executives, external stakeholders, customers, and other VIP’s as assigned
  • Process and submit monthly business expenses on behalf of Executives

Qualifications:

  • BA in business or equivalent required or equivalent work experience
  • 4 years of solid, senior level (C-suite or equivalent) executive support experience
  • Must be comfortable supporting and communicating with upper-level management
  • Self-starter, self-motivated and able to work independently
  • Ability to make sound judgment decisions on behalf of Executive
  • Excellent written and verbal communication skills
  • Strong multi-tasking skills and ability to meet deadlines
  • Demonstrated organizational and time-management skills
  • Must be reliable, proactive and resourceful
  • Discretion and a team-oriented attitude
  • Excellent computer skills with experience using, MSWord, Excel, PowerPoint, Outlook and other programs as required
