Title: Executive Assistant

Through our full-stack infrastructure (meaning we manage everything in-house–including fulfillment, supply chain, R&D, marketing, and development), we can go first to market with any brand concept and create something truly bespoke that stands out even in the most crowded of industries.

About the Role

We’re looking for an Executive Assistant to join the Kinetic Brands Team supporting our CEO and senior leadership. This highly organized individual must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven, and community-oriented. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills.

You will

  • Manage an extremely active calendar of appointments
  • Maximize the executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications on their behalf
  • Attend meetings and provide minutes
  • Manage expense reports and other executive admin responsibilities as needed
  • Compose and prepare correspondence that is sometimes confidential
  • Arrange detailed travel plans, itineraries, agendas and compiling documents for travel-related meetings
  • Work closely and effectively to keep the team well informed of upcoming commitments and responsibilities, following up appropriately
  • Handle projects quickly, proactively, and follows-through to successful completion, often with deadline pressures
  • Work with other departments to ensure consistent standards and best practices
  • Provides a bridge for smooth communication with internal departments
  • Facilitate vendor vetting and payment process
  • Provide ad hoc project support to the team as needed
  • Assist with day-to-day administrative support as needed

You have

  • A minimum of 3 years, direct hands-on experience in a role related to executive assistance, administration or chief of staff
  • Superior verbal and written communication skills
  • Excellent interpersonal communication
  • Ability to multitask and prioritize work as needed (excellent time management skills)
  • Experience with online tools and software such as Google Workplace, Outlook and Zoom
  • Ability to learn new tools quickly
  • Proven problem-solving abilities with challenging deadlines and priorities
  • A team player who is proactive, flexible, results-oriented and comfortable in a rapidly changing environment
  • Able to handle multiple tasks and confidential issues/material as well as communicate effectively with senior executives
  • Ability to work independently and under the pressure of deadlines
  • Experience working in a results-focused organization
  • Startup/Tech experience a plus
