Conference Attendee Coordinator

Overview

The Conference Attendee Coordinator is responsible for interactions with attendees and potential attendees through social media, online chat, email and phone to support the attendee experience and supplement the buying process. In this role, you will work closely with our operations team who’s executing the events and our marketing team who’s selling tickets.

This is a remote position, so is not specific to geographic location of candidates.

Responsibilities

  • Receive attendee and potential attendee calls, emails and chats; research member inquiries and respond in a timely manner
  • Point of contact on all conference registration related issues and attendee/registration related issues
  • Serve as point of contact for all groups sales. Perform follow-ups to group sales inquiries
  • Prepare attendee materials to assist the onsite team (badge printing, attendee list, etc.)
  • Perform some payment processing (bills and invoices, reimbursements) for those not registering through the ticketing platform
  • Prepare registration reports for the onsite team, while also preparing these throughout the calendar to keep the full team informed of current registration numbers
  • Manage and deploy attendee surveys

Qualificationsru

  • Bachelor’s degree in a relevant area preferred
  • Prefer a minimum of two years of stable work history
  • Demonstrated excellence in customer service
  • Extremely organized and detail-oriented
  • Excellent phone and communication skills
  • Self-motivated with a strong work ethic required
  • Solution-oriented and flexible; can roll with problems/develop solutions
  • Ability to handle the fast-paced environment of live events
  • Ability to work quickly, but efficiently
  • Fast learner, not afraid to jump in and take ownership of work
  • Skilled at multitasking and thinking a step ahead; being aware and responsive to attendees needs
