We are currently seeking an experienced Administrative Coordinator with excellent computer and communication skills. This position is Work from Home and can be located anywhere in the USA.

JOB SUMMARY:

The Administrative Coordinator’s primary responsibility is to perform high-level administrative and project based work in support of Training Services . The Administrative Coordinator is responsible for working with sales teams to adhere to and monitor sales and service delivery process compliance, working closely with service delivery administrative staff to complete the end to end sales and fulfillment process. This position performs daily activities as they relate to providing direct administrative support to assigned sales representatives, such as processing contracts and providing customer service to external clients. Assists with project based work as assigned by the Manager of Sales Administration.

JOB DESCRIPTION:

  • Provides external communication and client support to maintain ultimate client satisfaction. Projects a positive, professional image of the organization through in-person and phone interactions.
  • Reviews for accuracy and distributes sales contracts internally and externally. Tracks movement of the contract through the defined process until signatures are secured by both the Red Cross and clients.
  • Adheres to and monitors compliance with all sales processes including Full Service, Authorized Provider and Licensed Training Provider. Works closely with Service Delivery counterpart to ensure effective and efficient end to end fulfillment.
  • Works with Sales Teams and Business Operations Managers to identify and help correct process breakdowns.
  • Creates and distributes sales specific reports as identified by the sales and business operations teams.
  • Researches invoice issues and case submission. Takes appropriate action to resolve issues.
  • Creates and modifies documents as required. Performs general clerical duties to include but not limited to: photocopying, faxing, mailing, filing and order fulfillment. Signs for and distributes UPS/Fed Ex/Airborne packages.
  • Maintains hard copy and electronic filing system as identified.
  • Supports sales team through approved attendance at sales team meetings. Assists with meeting and conference coordination.
  • Supports staff in assigned project based work.
  • Other duties as assigned.

QUALIFICATIONS
Education: High School or equivalent required.
Experience: Up to 1 year related experience

Skills & Abilities: Good verbal and written communication skills. Basic knowledge of personal computer use, Microsoft Office Suite, use of office equipment. Standard typing skills required. Ability to work on a team.

Travel: None or very little.

The employee must have the ability to work in a small cubicle and have the ability to sit at a computer terminal for an extended period of time.
